    Hello!

I’m interested in getting Event Espresso on our site. The company I work for organizes open water swimming events and it seems like our best option to unify our system. I have a few things I would like to check out before we purchase.

In addition to annual events, we have two recurring weekly workouts and certain clinics that members attend for free, but non-members have to pay a fee. Both events require a waiver form that only needs to filled by the individual once a year. As members do not have to pay, we use an RSVP system so we know who is coming. So my questions are these:

    1. As the waiver only needs to be filled out once a year, is it possible for the system to recognize when someone has filled out a waiver already so they don’t have to fill it out each time they pay or “RSVP”?

    2. Is there an “RSVP”-type function to use on the calendar for recurring events, where members will not be required to pay, but a payment option will come up for non-members? And I assume it generates a separate attendee list for each date in the reoccurring cycle?

    3. I understand EE4 is in beta – will be a standalone, or will EE3 eventually update to EE4 stable for EE3 purchasers?

Let me know if I can clarify further or if my questions are answered somewhere and I missed them. Thanks so much!

    Cheers,
    Lauren

    Hi,

Thanks for your interest in Event Espresso!

    1. As the waiver only needs to be filled out once a year, is it possible for the system to recognize when someone has filled out a waiver already so they don’t have to fill it out each time they pay or “RSVP”?

We don’t really have anything like that built in. You could use a question to confirm they agree to terms (waiver?) but if you need anything more than that you would likely need something custom coded.

    2. Is there an “RSVP”-type function to use on the calendar for recurring events, where members will not be required to pay, but a payment option will come up for non-members? And I assume it generates a separate attendee list for each date in the reoccurring cycle?

If you use the WP User Integration (members) addon, logged in users will have a different price than logged out users. As such you could set that to 0 so the members go through the registration process but are not required to pay (as it’s free for them). Logged out users will see a different price, and if it is more than 0 they will see the payment gateways.

    3. I understand EE4 is in beta – will be a standalone, or will EE3 eventually update to EE4 stable for EE3 purchasers?

Not as such. EE4 is such a different codebase, that EE3 users will need to make the conscious decision to migrate over. We have migration scripts in place and so long as you haven’t modified the EE3 database, the data will transfer over to EE4.

We are hoping that once we have some more addons out, the majority of users will migrate over as EE3 will at some point become a legacy version (plus EE4 is just going to be much better!).

I hope that helps but feel free to ask more questions or for clarification.

Thanks for the swift reply, Dean! Sounds good. I have a few more questions as a result.

Our waiver is actually a form with fields for users to fill out – things like allergies and emergency contacts. Is there a way so that when they fill it out, it is accessible in Event Espresso on the mobile app and in the wordpress dashboard? Like under the “Own Your Data” feature, it says you can export attendee data to CSV and I assume it stores it in wordpress in some accessible database format. Am I making sense? Sorry! Or, at registration for an event, we can put the question “have you filled out a waiver” and if they select no, it appears? Or some other solution?

And just to be clear – so eventually it will be possible to migrate to EE4 from EE3 without issue? Will that be an update, or a separate purchase? I will probably go with EE3 for now since we use Stripe and I need something stable. Is there currently an ETA for a stable and official EE4?

Thanks so much! I really appreciate it. EEmreally looks like a great and well rounded product.

        Hi Lauren,

All the attendee data is stored in your WP database and can be accessed via the WP-admin panel. The mobile apps have limited access to attendee data, so pulling waiver information from the mobile app isn’t possible at this time.

Currently ee3 license holders have access to ee4 at no extra charge, and ee4 is also available as a separate purchase. We don’t have an ETA on when EE4 will graduate from beta. One thing that might help to know is EE4 is the next generation of Event Espresso. It’s going to be under heavy development and it will take some time before it reaches, then exceeds feature parity with EE3.

As an aside, with the release of Event Espresso 4.2 you can use Stripe through the new Mijireh checkout.

Hi Josh! Thanks for the clarification. I still think I will go with EE3 for now but will look forward to EE4 :) Cheers!
